Overview

The Manager of Building Services oversees facility-related operations across clinical and administrative sites in a multi-site healthcare organization. This position manages internal staff and external vendors responsible for services such as housekeeping, landscaping, pest control, security, linen, laundry, food services, and other sitebased support functions. The manager supervises support technicians, oversees the facility work order system, and ensures timely response to service requests and operational needs. This role also leads vendor performance monitoring, service-level agreement (SLA) oversight, and proactively communicates with clinical and administrative teams to ensure high-quality service delivery.


Additionally, the manager coordinates site inspections, regulatory compliance activities, audit readiness, and operational continuity; oversees building moves and space planning projects to support relocations and optimize space utilization; manages budgeting and emergency preparedness; and collaborates with property managers and landlords for facility-related issues at leased sites.


This position plays a key role in maintaining a safe, clean, and well-functioning care environment by ensuring that facility support services comply with applicable healthcare, city, county, and state regulations—including those related to fire systems, elevators, boilers, irrigation, security systems, and overall operational readiness across all sites.

Responsibilities

Essential Functions:

  • Manage core operational services including housekeeping, security, pest control, landscaping, waste management, and other site-based support functions across all sites.
  • Manage and oversee the facility work order system, serving as the primary point of contact for incoming service requests from clinics and administrative sites. Ensure accurate data entry, timely response, vendor coordination, and resolution of issues, while maintaining system accuracy, reporting, and staff/vendor training to support operational efficiency.
  • Manage support operations technicians who coordinate logistics for clinical and non-clinical functions including but not limited to linen, laundry, food services, and manage facility-related service requests from clinical teams, such as HVAC, plumbing, or electrical needs, ensuring timely triage, vendor coordination, and resolution.
  • Serve as the primary liaison for external service vendors. Monitor performance and service-level agreements (SLAs) to ensure vendors and internal teams meet defined response and completion timelines. Promote a customer-focused approach by maintaining proactive communication with clinical and administrative teams regarding service requests, updates, and resolutions.
  • Conduct regular site rounds or delegate inspections to verify cleanliness, safety, and operational readiness of clinical and administrative spaces while ensuring compliance with healthcare facility standards and applicable city, county, and state regulations, including those related to fire systems, elevators, boilers, irrigation, and security systems. Maintain accurate records of inspections, maintenance activities, and compliance documentation to support audits and internal reporting.
  • Develop workflows and standard operating procedures to support scalable, consistent service delivery.
  • Collaborate with clinical and non-clinical leaders to align building services with organizational goals and evolving site needs.
  • Support the development and monitoring of the annual budget for facility-related services. Track service utilization, vendor costs, and resource needs to inform forecasting and recommend cost-effective solutions.
  • Support emergency response planning by ensuring continued access to building services and vendor functions during critical events.
  • Participate in special projects, department initiatives, or operational responses as needed.
  • Coordinate with property managers and landlords on facility-related issues at leased sites, such as repair requests or access needs, while collaborating with internal clinical and administrative teams to address site-level operational concerns.
  • Plan, coordinate, and execute building moves, space reconfigurations, and departmental relocations. Collaborate with vendors, internal departments, and leadership to ensure smooth transitions and optimize space utilization across clinical and administrative sites.

Knowledge, Skills and Abilities:

  • Understanding of building systems (e.g., HVAC, plumbing, electrical) and support service workflows
  • Ability to manage external service vendors, monitor SLAs, and ensure compliance with agreements
  • Skill in using digital systems to track facility requests, assign tasks, and monitor resolution
  • Familiarity with life safety codes, local ordinances, and regulatory agencies (e.g., TDLR, AHJ)
  • Ability to lead support staff, assign priorities, and provide performance feedback
  • Strong communication skills to coordinate with clinical teams and respond to service needs
  • Ability to maintain continuity of services during critical events and resolve facilities issues

Qualifications

Minimum Education:

  • Bachelor's Degree (higher degree accepted) In a related field (e.g., healthcare administration, facility operations, engineering)

Minimum Experience:

  • 3 years Managing or supervising facilities, building services, or support operations in a multi-site setting
  • 3 years Experience managing third-party vendors and monitoring SLAs for facilities-related services

Required Licenses and Certifications:

  • TXDL Upon Hire
  • OSHA 10/30-Hour Certification Within 1 Year
