Overview

The Program Coordinator supports the Utilization Management team by providing data entry, communication, reporting, and vendor management support to ensure seamless operational workflows. This role is responsible for managing intake, authorization entry into the VBA system, tracking outcomes, generating reports, and coordinating communication with providers, vendors, and internal/external stakeholders. The Program Coordinator also assists with process improvement, program development initiatives, and serves as a liaison across departments to support efficient, high-quality service delivery.
This position requires strong organizational, communication, and problem-solving skills to manage multiple priorities while maintaining attention to detail and accuracy.

Responsibilities

Essential Functions:

 

  • Enter and manage authorizations in the VBA system and ensure timely completion of intake requests/templates.
  • Verify member eligibility and ensure accurate entry of information into operational databases.
  • Maintain and organize attachments and supporting documentation for authorizations and operational workflows.
  • Serve as a primary communication liaison between providers, vendors, and internal teams, including drafting, reviewing, and distributing letters and correspondence.
  • Track outcomes and performance measures related to authorizations, intake, and operational workflows.
  • Generate and distribute reports to support decision-making and operational transparency.
  • Support vendor management activities, including coordination, tracking deliverables, and communication followup.
  • Participate in operational process improvement (PI) initiatives by identifying opportunities for efficiency and contributing to implementation plans.
  • Support configuration and administration of VBA and other operational systems.
  • Provide outstanding customer service to both internal and external stakeholders, ensuring timely and professional communication.
  • Maintain confidentiality and adhere to organizational policies and procedures.
  • Participate in departmental meetings and cross-functional workgroups as an active member of the team.
  • Assist with special projects as assigned by leadership.
  • Provide backup support to team members during peak workload or absences.
  • Collaborate across teams to ensure operational continuity and problem resolution.

 

Knowledge, Skills and Abilities:

 

  • Demonstrated ability to establish and maintain positive and effective work relationships with coworkers, clients, members, providers, and customers.
  • Good understanding of healthcare delivery including inpatient and outpatient services, and working knowledge of medical terminology and abbreviations.
  • Good understanding of healthcare billing and coding rules.
  • Ability to think analytically and problem solve. Willingness to work in a constantly changing, fastpaced healthcare environment.
  • Exposure to healthcare utilization across inpatient, outpatient, and managed care environments, and related processes.
  • Experience with formal program optimization and efficiency, or related processes in health care, clinical practice, clinical management, or healthcare finance setting.
  • Strong background in data management, data analysis, and data interpretation. Expertise with data systems or related tools.
  • Experience with Microsoft business suite and ability to learn applications or software quickly.

 

Qualifications

QUALIFICATIONS:

 

Education:

Associates Degree (higher degree accepted) in Business, Health, Healthcare Finance, or related field OR

High School Diploma or equivalent with 4 additional years of experience in healthcare industry/managed care in lieu of degree

 

Work Experience:

2 years of Utilization Management, Healthcare environments, Healthcare Business, Healthcare Finance, or related fields required 

 

Experience using VBA Software in healthcare environments Preferred

 

Licenses/Certifications:

 

Lean Six-Sigma Green Belt Within 2 Years Preferred
