Overview

The Associate Director, Clinic Operations provides leadership and management for the delivery of effective and efficient healthcare operations for Central Health. Works in conjunction with the Practice Administrators to administer and facilitate the business functions of the Central Health clinics. This position serves as an adviser to Operations Leadership, Nursing Leadership and Clinical Leadership on all matters pertaining to implementing best business practices. The Associate Director, Clinic Operations is responsible for implementation and sustainment of high quality patient services, standardized processes, and continued increased operational efficiencies.

Responsibilities

Essential Functions:

  • Oversees the management of clinic operations of assigned clinics and maintains accountability for quality, safety, service and operational excellence.
  • Supervises the Practice Administrator staff and overall operations of assigned clinics. Duties includes evaluating performance, establishing goals and compliance with practice standards.
  • Provides primary oversight of clinic operations, development of processes to increase access and productivity, identify opportunities to reduce operational costs, and developing operational policies and procedures.
  • Supports the Director of Operations by providing leadership in the development and implementation of clinic services to address and improve the health status of patients served and to use resources to increase access, improve quality, and maintain or reduce cost.
  • Develops, implements and monitors the daily operational systems and processes to measure, monitor and improve the quality and appropriateness of services delivered to patients. Utilizing revenue cycle data (Epic Metric Reports) develops operational action plans to meet assigned quality metrics and KPI's.
  • Supports and participates in strategic clinic initiatives and plans for area of responsibility and develops goals, objectives, and financial projections to ensure successful implementation.
  • Works closely with Associate Director of Nursing and other clinical staff in a collaborative approach to excellence in service and clinical care, optimal outcomes, data integrity, and efficient resource utilization.
  • Develops, lead and utilize LEAN, Six Sigma and PCMH strategies, techniques and tools for process improvement and improve patient health care.
  • Develops and implements processes designed to engage all staff in the pursuit of operational excellence high reliability standards in the pursuit continuous improvement of patient experience and patient engagement.
  • Collaborates with Nursing Leadership and Clinical Leadership on all matters pertaining to implementing team based care design.
    Implements site activities to ensure compliance with associated rules and regulations.
  • Collaborates with Associate Director of Nurses for oversight of infection control standards, Joint Commission
  • Standards, CLIA and Radiology regulations, compliance with Standing Delegation Orders, and emergency events.
  • Collaborates with provider and clinical leadership to strategize clinic services and improvements.
  • In collaboration with the Orientation and Education Department, ensures oversight and management of team member orientation, competency, and training records are completed in a timely manner and stored in the appropriate source of record.
  • Demonstrate a willingness to be an active participant in initiatives that have fundamental impact on the organization.
  • Performs any other duties as needed to drive the vision, fulfill the mission and abide by the values of this organization.
  • Monitors and analyzes financial and budgetary performance including explanation and justification of actual vs. budget variance, oversee initiation of capital requests and new programs; reviews department charge master at least annually to capture additional revenue; develops and oversees contracts specific to areas of oversight.
  • Manages the operational and fiscal activities of the assigned clinics to include staffing levels, budgets and financial and operating goals and plans and develops systems and procedures to improve the quality and efficiency of operations and meet productivity and quality goals.
  • Works in partnership with the Director of Revenue Cycle to monitor efficiency and effectiveness of billing process and patient charges; coordinates with affiliates and partners organizations/providers as necessary.
  • Works with Director of Operations to develop long-term strategic plan(s) for assigned clinics; with Nursing and
  • Clinical leadership to define yearly goals for clinics; and participates in planning process for program/service development and expansion.
  • Prepares monthly and annual evaluations for executive team’s review including identified opportunities to improve clinic operations.
  • May work with Project Managers to design, implement and develop new clinics, renovations and expansions.
  • Ensures all tasks provided and associated with patient care, patient administrative processes and related duties comply with all regulatory and accreditation standards including Joint Commission, Central Health Standard
  • Operating Procedures and Travis County Healthcare District Policies and Procedures.

Qualifications

Minimum Education:

  • Bachelor's Degree (higher degree accepted) in Business, Health Administration or related field

Minimum Experience:

  • 5 years related experience with at least 3 years in a medical office, management/supervisory capacity.
  • Demonstrated experience and proficiency with tools, technology and systems typically found in a healthcare environment (i.e. Microsoft Office Suite, patient record systems, EMR systems, etc.).
