Overview

The Fleet Manager is responsible for leading the development, implementation, and management of a comprehensive fleet program that supports the healthcare organization’s facilities and service delivery operations.
This position provides strategic direction and operational oversight for all aspects of fleet management, including vehicle acquisition and disposal, preventative maintenance, compliance with local, state, and federal regulations, and risk mitigation. Working collaboratively with internal departments, vendors, and executive leadership, the Fleet Manager ensures safe, cost-effective, and reliable transportation. The role also establishes fleet policies and
procedures, analyzes performance metrics to drive efficiency, and oversees training and compliance for drivers and staff.

Responsibilities

Essential Functions

  • Develops and leads a comprehensive fleet management program, establishing policies, procedures, preventative maintenance schedules, and lifecycle planning for vehicle acquisition and disposal.
  • Oversees all vehicle operations, including routine maintenance, urgent repairs, vendor coordination, and inspections to ensure vehicle safety, compliance, and performance.
  • Manages fleet compliance and risk, ensuring adherence to DOT regulations, emissions standards, insurance requirements, and internal policies related to safety, driving behavior, and incident response.
  • Administers the fleet budget and financial oversight, including cost tracking, fuel and mileage analysis, and total cost of ownership evaluation to drive cost efficiency.
  • Implements and monitors fleet performance metrics, using telematics, dashboards, and reporting tools to assess utilization, downtime, and cost per mile, and to inform decision-making.
  • Leads vehicle procurement and vendor management, including negotiating contracts for maintenance, fuel programs, telematics software, insurance providers, and equipment suppliers.
  • Maintains accurate records and documentation, including maintenance logs, inspection results, driver qualifications, training certifications, and policy acknowledgments.
  • Coordinates and delivers training and communication for fleet users, ensuring proper onboarding, policy adherence, and continuous education on safety and compliance standards.
  • Collaborates cross-functionally with internal departments—such as Facilities, Operations, and Healthcare
  • Services—to align fleet support with organizational needs and service delivery goals.
  • Explores and supports sustainability initiatives, including the evaluation of electric or hybrid vehicles, route optimization, and environmentally responsible fleet practices.
  • Performs other duties as assigned.

Qualifications

MINIMUM EDUCATION: High School Diploma or equivalent.

 

MINIMUM EXPERIENCE:

  • 1 year vehicle fleet coordination, logistics.

PREFERRED EXPERIENCE:

  • 3 years vehicle fleet coordination, logistics, or related field
