Overview

The Site Specialist Supervisor is responsible for providing leadership, coordination and supervision of the Application Site Specialist team processes and functions, as well as managing the day-to-day operational activities of the Application Site Specialist team in support of our enterprise. This includes anticipating, recognizing and resolving issues; overseeing team process and assessing for areas of opportunity to improve effectiveness and efficiency; helping to build the skills of the team; and coordinating efforts within the Applications Site Specialist team and other Joint tech staff and/or vendors as needed. This individual will serve as the Epic EHR “Training Manager”. The Application Site Specialist Supervisor will also perform other duties as assigned.

Responsibilities

• Directly supervise staff, including overseeing and participating in team processes, assigning and prioritizing work, setting employee goals, reviewing team performance metrics and completing performance reviews.
• Perform vendor management and oversight as needed.
• Utilize standardized department tools/software systems to plan task/projects and monitor progress toward milestones and deadlines, reassigning resources when necessary to meet organizational objectives.
• Collaborate with the Analyst team on workflow, training materials, and support of enterprise applications.
• Maintains up-to-date expertise on the operation and application of various enterprise applications.
• Work closely with organizational leadership to ensure training goals and vision are being met.
• Able to travel between all clinics. These are located throughout Travis, Bastrop, and Williamson counties.
• Develop and maintain a technical training program for the enterprise.
• Work collaboratively to create and continuously update technical training materials and classes for various training needs (new user training, refresher training, upgrade training, Tips and Tricks, and frequent asked questions).
• Will closely collaborate with the Analyst Team on upcoming changes/upgrades.
• Assist with coordinating clinical/administrative requests for EMR system modification and act as a liaison between the end user and information technology to optimize tools and workflows in the EMR application.
• Coordinates system changes with the governance team for decision making.
• Conducts periodic observations of end users in their environment to identify areas for improvement and suggestions for workflow redesign.
• Oversees the build and maintenance of the Epic training environments.
• Supports all phases of the EMR implementation.

• Experience in designing and delivering training programs for all levels of staff from front line to executives.
• Strong knowledge of clinical and/or administrative workflows.
• Attention to detail and excellent analytical and critical thinking skills (strong problem-solving skills).
• Must be able to work flexible hours. Some evenings, nights, and weekends are occasionally required.

Qualifications

MINIMUM EDUCATION: Bachelor’s degree in Business, Clinical Science, Computer Science, or Education.


MINIMUM EXPERIENCE:
• 3 years of management experience
• 5 years of professional development/training experience
• 3 years of Electronic Health Record System experience
• Healthcare experience
• Experience administering a Learning Management System

 

PREFERRED EDUCATION:
Master’s degree in Business, Clinical Science, Computer Science or Education.

 

PREFERRED EXPERIENCE:
• 3 years of experience as a super user/support role using an EMR
• Experience implementing and supporting an EMR
• Clinical experience
• Knowledge of Medical terminology
• Epic experience
• Experience creating virtual training


REQUIRED CERTIFICATIONS/LICENSURE: Holds and maintains these certifications as a professional. Lapsing/expiration of these certifications/licensure will result in suspension of work:
Must become certified as an Epic Training Manager within 6 months of hire
Information Technology Infrastructure Library (ITIL) (Foundational) Certification; will be required after 1 year in the role.
